Rooms Available for Reservations

The following rooms may be reserved:

  • Lower Level: The Lower Level Classroom may be reserved unless a class is using the space
  • First Floor: Meeting Room 1 (12 chairs, AppleTV, HDMI Connection)
  • Second Floor Annex: The Pritchard Room (multiple setup options, AppleTV, HDMI Connection, wireless microphones)
  • Third Floor: McDowell Library Instruction Room ("BI Room") may be reserved unless a class is using the space (classroom setup only, AppleTV, HDMI, document camera, DVD/VHS, podium microphone)

Study Rooms and other spaces are available first come, first served.

Accessing the Mazevo Room Reservation Software

Hiram College uses Mazevo to manage room reservations. Follow these steps to book a room in the library or other areas on campus:

  1. Access Mazevo by visiting my.hiram.edu and clicking Calendars followed by "Event Form." Or go directly to https://east.mymazevo.com/ssocustomer/hiram.
  2. Login using your Hiram username and password.
  3. Once logged in, you can see any events you have already booked on your home screen as well as menus to "Add New Request" or view "Requests."

Checking Room Availability in Mazevo

To check room availability before booking:

  1. Login to Mazevo.
  2. Click on Requests.
  3. Click on Event Book.
  4. Use the menus to select the Building or sort by location. Scroll to the date/time you want to book to see what spaces are available to you. 

To see all events on a given day:

  1. Click on Requests.
  2. Click on All Events.
  3. Use the arrows at the top of the screen to view different dates. 
  4. Use the search box to search for an event on that date.

Reserving a Room in Mazevo

To reserve a room in Mazevo:

  1. Login to Mazevo.
  2. Click on Requests.
  3. Click on Add New Request.
  4. Enter your event information.
    • Event Name, Event Type, Organization, and Number of People are required fields.
    • If you are a student and your organization isn't listed, select "Student/Student Group" for the Organization.
    • If you would like your event to be displayed on the Hiram College Calendar, please include an Event Description. 
  5. Select your start/end time and date.
  6. Select your building and click "Find Rooms"
  7. All available rooms will be on the first tab. These will be rooms that are available at the specified date and time and can hold the number of people you expect. Select the room you would like to reserve using the checkbox. 
    • Unavailable Rooms will be on the Unavailable Rooms tab. You can click on them to see when they are booked and consider modifying your date/time if needed. 
  8. Click Request Room.
  9. You will be prompted to select a room setup. Some rooms, such as the McDowell Library Instruction Room, have only one choice. 
  10. Select any services you need. (There may be a charge to your group for these services. If you are unsure, please contact events@hiram.edu.)
    • Press Skip if you do not need any services. 
  11. Answer questions about any requests that you need.
  12. Click Submit.

Your room reservation request will then be sent to administrators for approval. You will receive an email once your request is approved or if administrators have any questions about your event.
